Terms and Conditions for Online Booking and Dietetics Consultations

By booking an appointment through our online booking system, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.

  1. Service Description

1.1 Our dietetics consultations provide evidence-based nutritional assessment, education, and counselling services delivered by Accredited Practising Dietitians.

1.2 Services may be provided in-person at our clinic or via telehealth platforms, subject to availability and clinical appropriateness.

1.3 Dietetic advice is provided for general informational purposes and should not replace medical advice from your treating physician.

  1. Online Booking Process

2.1 Accuracy of Information: You agree to provide accurate, current, and complete information during the booking process, including:

  • Full legal name
  • Date of birth
  • Contact details (phone and email)
  • Relevant medical information
  • Health fund details (if applicable)

2.2 Booking Confirmation: Appointments are not confirmed until you receive a confirmation email. We reserve the right to cancel or reschedule bookings if necessary.

2.3 Age Requirements: Clients under 18 years must have parental/guardian consent. The parent/guardian must attend the appointment with minors under 16 years.

  1. Fees and Payment

3.1 Consultation Fees: Current fees are displayed during the booking process and are subject to change. You are responsible for the fee applicable at the time of your appointment.

3.2 Payment Methods: A booking fee is required at the time of booking unless otherwise arranged. The remainder of the fee is applicable at the time of your appointment

We accept:

  • Credit/debit cards
  • Health fund claims (where applicable)
  • NDIS funding (for eligible participants)
  • Medicare rebates (with valid referral)

In order to process Medicare and Health rebates, we require Full payment, after which we can submit your claim to Medicare or the relevant Health Insurer.

3.3 Health Fund Rebates: If claiming through your health fund, you are responsible for:

  • Confirming your level of cover
  • Any gap payments
  • Bringing your health fund card to the appointment

3.4 Medicare Rebates: Chronic Care Management Plan (CCMP) referrals from your GP may entitle you to Medicare rebates. For you to be able to obtain a rebate, we require a copy of your referral either prior to your appointment, or at the time of your appointment.

  1. Cancellation and Rescheduling Policy

4.1 Client Cancellations:

  • More than 48 hours notice: Full refund or transfer to new appointment
  • Less than 48 hours notice: $100 cancellation fee
  • No-show (without notice): 100% fee forfeited

4.2 Practitioner Cancellations: If we need to cancel your appointment, we will provide as much notice as possible and offer a full refund or priority rebooking.

  1. Telehealth Consultations

5.1 Technical Requirements: You are responsible for ensuring you have:

  • Reliable internet connection
  • Compatible device with camera and microphone
  • Private, quiet space for the consultation

5.2 Platform Security: We use secure, encrypted platforms for telehealth. However, you acknowledge inherent risks in electronic communication.

5.3 Geographic Limitations: Telehealth services are only available to clients located within Australia at the time of consultation.

  1. Privacy and Confidentiality

6.1 Information Collection: We collect personal and health information necessary for providing dietetic services in accordance with the Privacy Act 1988 and Australian Privacy Principles.

6.2 Information Use: Your information will be used solely for:

  • Providing dietetic services
  • Communication regarding your care
  • Billing and administrative purposes
  • Legal and regulatory compliance

6.3 Information Sharing: We will not share your information without consent except where required by law or to prevent serious threat to health or safety.

6.4 Record Keeping: Clinical records are maintained for a minimum of 7 years (or until age 25 for minors) in accordance with professional standards.

  1. Professional Standards and Scope

7.1 Scope of Practice: Our dietitians operate within their scope of practice as defined by Dietitians Australia and will refer to other healthcare providers when appropriate.

7.2 Evidence-Based Practice: All advice is based on current scientific evidence and professional guidelines.

7.3 No Guarantees: While we strive for optimal outcomes, we cannot guarantee specific results as these depend on multiple factors including client adherence.

  1. Client Responsibilities

You agree to:

  • Attend appointments on time or provide adequate notice for cancellations
  • Provide honest and complete health information
  • Inform us of changes to your health status or medications
  • Follow agreed treatment plans or communicate concerns
  • Treat staff with respect and courtesy
  • Pay fees as agreed
  1. Practitioner Rights

We reserve the right to:

  • Refuse or discontinue service if behaviour is inappropriate, threatening, or non-compliant
  • Modify fees with reasonable notice
  • Change appointment times or practitioners when necessary
  • Refer to other providers if outside our scope of practice
  1. Limitation of Liability

10.1 To the fullest extent permitted by law, we exclude liability for any loss or damage arising from the use of our services except where such exclusion is prohibited by law.

10.2 Our total liability for any claim is limited to the fee paid for the relevant consultation.

  1. Complaints and Feedback

11.1 We welcome feedback and take complaints seriously. Please contact us directly in the first instance.

11.2 Unresolved complaints may be directed to:

  • Dietitians Australia
  • Your state health complaints commission
  1. General Terms

12.1 Entire Agreement: These terms constitute the entire agreement between you and our practice.

12.2 Severability: If any provision is found invalid, the remaining provisions continue in effect.

12.3 Governing Law: These terms are governed by the laws of NSW, Australia.

12.4 Changes to Terms: We may update these terms at any time. Continued use of our services constitutes acceptance of modified terms.

By clicking “I Agree” or proceeding with your booking, you confirm that:

  • You have read and understood these terms
  • You consent to receive dietetic services under these conditions
  • You are legally capable of entering this agreement
  • The information you have provided is true and accurate
